Choosing Junk Removal Estimate Software: What to Check Before You Switch
If you are quoting junk jobs from memory, a notes app and a long text thread, you already know where it breaks: prices that drift, quotes nobody followed up on, and jobs that get retyped wrong into the calendar. Software can fix that, but only if it understands how junk removal is actually priced. Here is what to check before you switch.
Start With How You Actually Quote
Clear estimate wording, covered in Writing a Junk Removal Estimate Customers Understand: What Is Included and What Is Not, only works if the software lets you write and reuse it. That is one of many things to look for.
Before you look at any software, write down how you quote today. Do you price by the truck load? By the item? Do you charge for weight at the dump? Do you do estimate visits? Do you quote from photos customers send you? Do property managers send you steady work? That list is your test. Any software you consider should handle every item on it without workarounds.
Junk-Specific Pricing
Generic field-service software usually gives you a description box and a price. Junk removal needs more:
- A service list. Can you set up load sizes, single items, specialty items, cleanouts and add-ons at your own prices, and build every estimate from them?
- Truck-load sizes. Can the job record the load, from a minimum up through multiple loads? JunkBossPro uses Min Load, 1/8 through 7/8, Full Load, 1.5, 2 or 3 loads.
- Items and what is going. Can you note the item count and a plain description that carries to the crew?
- Haul-to. Can each job say where it goes: dump, transfer station, donation center or metal recycler?
Weight and Overage
If you include a set weight in your prices, the software needs to handle the overage. Check whether you can set the tons included and a per-ton rate, enter the tons from the dump ticket and have the overage added to the invoice automatically, written out so the customer can follow it. In JunkBossPro it reads like “Dump fee overage (0.28 tons @ $70.00) = $19.60.” Doing that by hand on every heavy job is where money gets lost.
From Quote to Job
The biggest time saver is what happens after the customer says yes. Check:
- Online approval. Can the customer approve the estimate online without calling you?
- Estimate becomes the job. Does an approved estimate turn into the scheduled job with its lines, load and notes, or does someone retype it?
- Follow-ups. Are estimate follow-up emails sent for quotes nobody answered?
- Templates. Can you save estimate templates for the jobs you quote every week?
- Estimate visits. Can an on-site estimate visit go on the schedule like any other job?
The hand-off is covered in more detail in From Approved Junk Removal Estimate to Scheduled Job, With Nothing Retyped.
Scheduling and the Crew
Estimates do not live alone. Look at what happens once the job is booked. Is there a map of unbooked requests, like the Waiting List, so you can fit new jobs near existing routes? A dispatch board by day and truck? Auto-routing from the yard? A crew app that shows the load, items, what is going and the drop-off on each card, with navigation and before and after photos? Automatic on-the-way and arrived texts to the customer?
If the estimate tool and the crew app are separate products, you are back to copying information between them.
Billing and Repeat Customers
Check how the job turns into an invoice. Line items and sales tax, card on file, charge on completion and online payment for the customer should all be there. If you work with property managers or realtors, look for one client with many addresses and monthly account billing, so they get one statement each month with every address listed.
Try It on Real Jobs
The fastest way to know is to try it. JunkBossPro has a live demo with a fully-stocked sample junk removal company you can click around without signing up. When you are ready, the 14-day free trial needs no credit card. Set up your service list, quote a few real jobs, send them for approval and see what the crew sees.
Plans are $59, $89 or $199 per month (Start, Pro and Crew), with estimates on every plan. If you are moving off spreadsheets and paper, CSV import brings your customers and addresses in, and imported addresses are placed on the map automatically.
The Short Version
Pick software that prices the way junk removal actually works, turns an approved estimate into a job without retyping, and carries the quote all the way to the crew's phone and the invoice. For a full look at how JunkBossPro handles each piece, visit the junk removal estimate software page.
