Estimate Follow-Up Emails: Getting Junk Removal Quotes Approved
Plenty of junk removal estimates aren't lost to a cheaper competitor. They're lost to a busy week. The customer meant to approve the garage cleanout, got distracted, and three weeks later the garage is still full and they hire whoever happens to text them first. A steady follow-up is often the difference between an open estimate and a booked truck.
Why Estimates Stall
Building an estimate from your service list, and having the customer approve it online, is covered in The Leads List and Estimates: Turning Junk Removal Inquiries Into Priced Jobs. This guide is about what happens when the approval doesn't come.
Junk removal estimates stall for ordinary reasons:
- The customer is waiting on someone else: a spouse, siblings dividing an estate, a landlord.
- They have a date in mind that is weeks away, like a move or a listing.
- They are sorting what to keep and what to toss first.
- They are comparing two or three prices.
- They simply forgot.
Only the last one is a real loss if you do nothing, and it is the easiest one to fix.
Let the Follow-Up Emails Do the Routine Part
JunkBossPro sends estimate follow-up emails on open estimates. That covers the “they forgot” case without anyone keeping a reminder list. The customer gets a polite nudge with the estimate in front of them and can approve it online from there. When they approve, the estimate becomes the scheduled job.
Automatic follow-ups have one big advantage over doing it by hand: they happen on the busy weeks too. Spring cleaning season is exactly when you are too buried to remember last Tuesday's quotes, and exactly when those customers are most likely to book someone else.
What a Good Follow-Up Says
A follow-up email should be short and useful, not pushy. Things worth including:
- A reminder of the job. “Your estimate for the garage cleanout, about a half truck load.”
- The easy next step. Approve online, or reply with questions.
- A reason to act. “We're booking about a week out right now.” Only say it if it's true.
- An out. “If you've already taken care of it, no problem.” People respond better when they don't feel cornered.
Skip discounts in the first follow-up. Customers who were going to book anyway will take the discount, and customers who weren't usually weren't waiting on price.
When a Text Is Worth It
Emails handle the routine. For the bigger jobs, a personal text from the office adds a human touch that an email can't:
- Estate and whole-house cleanouts. “Hi Ms. Reyes, just checking on the estimate for your father's house. No rush, and happy to walk through it by phone if that helps.”
- Jobs with a deadline. “Hi Jess, still planning to move out on the 30th? We have the 28th and 29th open.”
- Jobs near a route. “We'll have a truck on your street Thursday morning. Want us to grab the shed then?”
That last kind of text is one of the best uses of the Waiting List. When you see an open estimate sitting near a booked job, you can offer a day that is easy for you and specific for them. More on that in Filling the Truck: Booking Junk Removal Requests Near Tomorrow's Route.
How Long to Keep Following Up
A junk removal estimate has a short shelf life for most jobs and a long one for some. A rough guide:
- Single items and small loads: one follow-up after a day or two, then let it go.
- Garage and basement cleanouts: the automatic emails, plus one text a week or so later.
- Estate cleanouts and move-outs: follow the customer's timeline. If they said “after the funeral” or “after closing,” check in around that date, not before.
Write the customer's timeline in a note on the client so whoever follows up knows not to text a grieving family twice in one week.
Templates Make the Next Quote Faster
Follow-ups go better when the estimate itself was clear. Estimate templates for your most common jobs, like a garage cleanout, an appliance pickup or a hot tub removal, keep the wording consistent: what's included, what could change the price, how the dump fee works. A customer who understands the estimate is a customer who doesn't need three follow-ups to approve it.
Close the Loop on Every Quote
Automatic follow-up emails for every open estimate, plus a personal text on the big ones, catches the jobs that would otherwise slip. For how follow-ups connect to the leads list, texting and booking, visit the JunkBossPro junk removal booking software page.
