The Waiting List Map: Seeing Every Unbooked Junk Request Before You Plan Tomorrow
Every junk company has a pile of requests that aren't booked yet. A couch somebody wants gone “sometime next week.” A garage cleanout waiting on a walk-through. A fridge the customer will put out whenever you're close. Where that pile lives decides how well you schedule.
The Pile Behind the Board
Splitting work between trucks is covered in Two Trucks, Two Kinds of Day: Splitting Small Loads and Cleanouts in Junk Dispatch. That split only works if you can see the work that hasn't been assigned yet. That's the Waiting List.
In JunkBossPro, every new request that isn't booked yet sits on the Waiting List. It shows two ways: a list you can scan and a live map with a pin for each request. Once a request gets a day and a truck, it leaves the Waiting List and shows up on the dispatch board.
What Lands on It
Anything that needs to happen but doesn't have a date yet:
- Single items — mattresses, appliances, furniture, a hot tub.
- Small and partial loads — a 1/4 load from a garage, a 1/2 load from a move-out.
- Cleanouts — estate, garage, basement, storage.
- On-site estimate visits — jobs where somebody needs to look before you can price it.
- Website requests from the form on your own site, once they're entered as work.
Each one carries what you know so far: the address, the load size, the item count, what's going and any notes. The more of that you fill in when the request comes in, the easier it is to plan around later.
Why the Map Changes Everything
A list of addresses tells you very little. “412 Oak, 89 Birch, 1550 Commerce” means nothing unless you know the town street by street. Pins on a map show you immediately which requests are close together and which ones are close to work you already have.
The most useful habit in junk scheduling is simple: before you book tomorrow, look at tomorrow's jobs and then look at the pins around them. A single item two blocks from a booked cleanout is an obvious add. Five small requests in the same subdivision could fill a morning.
Using It With a Customer on the Phone
The map is just as useful during the call. When a customer asks “When can you come?”, look at where they are and what's booked nearby. Instead of offering whatever day is open, offer the day you're already in their neighborhood. “We've got a truck on your street Wednesday morning” is a good answer for the customer and a great one for you.
If they need a different day, book it. If they're flexible, leave it on the Waiting List with a note: “Flexible, any weekday.” It will still be on the map tomorrow night.
Flexible requests are the most valuable pins on the map. They are the ones you can move to whatever day the truck happens to be nearby. Mark them clearly in the notes so whoever plans tomorrow knows which pins can be pulled in and which ones are waiting on a specific date. A map full of flexible single items is a map full of easy fillers.
Estimate Visits on the Map
On-site estimate visits sit on the Waiting List too, until you schedule them. Seeing them on the map helps you cluster them: three walk-throughs on the same side of town can share one afternoon. Once a customer approves the estimate online, the approved estimate becomes the scheduled job. More on that in Putting On-Site Estimate Visits on the Junk Removal Schedule.
Keep It Honest
A Waiting List works only if it reflects reality. A few habits keep it clean:
- Enter phone requests right away. Anything not entered won't be on the map.
- Size every request, even roughly. A pin without a load size is hard to plan around.
- Clear out the dead ones. If a customer found someone else or changed their mind, remove the request so the map isn't cluttered with work that isn't coming.
- Add timing to the notes. “Needs it gone before the 30th” keeps a flexible request from sitting too long.
The Map Is the Plan
Owners who build their days from the Waiting List map spend less time driving and more time loading. The next guide uses the same map to fill a truck that has room left. For the full picture of scheduling and dispatch, see the JunkBossPro junk removal scheduling software page.
