Junk Removal Billing: Invoices, Sales Tax, Card on File and Charging at Completion

Junk removal has one big billing advantage over most trades: the customer is usually standing right there when the job is done, looking at an empty garage. That is the best moment to get paid. JunkBossPro is set up to take advantage of it.

Where the Invoice Starts

Website requests are covered in Website Request and Sign-Up Forms That Feed Your Junk Removal Software. Customers who sign up through the sign-up form already have a card on file, which makes the billing in this guide simpler.

An invoice in JunkBossPro comes from the job. The job came from the estimate, and the estimate came from your service list. So by the time the crew taps Complete, the invoice already knows what it's billing for.

Invoices With Line Items and Sales Tax

Every invoice shows its line items: the half truck load, the hot tub removal, the same-day service, whatever was on the job. Sales tax is applied the way you've set it up. Extras added on site show as their own lines. If the dump ticket came in heavy, dump fee overage shows as its own line too:

“Dump fee overage (0.28 tons @ $70.00) = $19.60”

Clear lines mean fewer questions. The customer can see exactly what they're paying for, and you can see exactly what each job brought in.

Card on File

A card on file is the single biggest time-saver in junk removal billing. Customers can add a card when they sign up through the sign-up form on your website, or in the customer app at any time. They can update it in the customer app if it expires.

With a card on file, you choose when it's charged:

Charging on completion works for most one-time residential jobs. For jobs where you expect dump fee overage, some owners prefer to wait until the ticket is entered so there's one charge for everything.

Online Payment From the Customer App

Not every customer has a card on file. For them, the invoice shows up in the customer app and by email, ready to pay online. They don't need to call the office, read a card number over the phone, or mail a check. The invoice shows as paid as soon as they pay.

The customer app also keeps past invoices, so a customer who needs a copy for their own records can find it without asking.

Past-Due Follow-Up

Some invoices don't get paid on time. Past-due follow-up sends reminders on unpaid invoices so the office doesn't have to remember who owes what. Most late payers aren't trying to avoid you; they just forgot. A reminder with a link to pay usually does it.

For customers who are consistently late, the fix is often a card on file. Next time they book, ask for one.

Billing Property Managers and Realtors

Commercial customers who send you repeat work across many addresses don't want a separate invoice for every trash-out. They can be set to Monthly and get one statement each month covering every address, with each line labeled by address. That's covered in detail in Monthly Accounts for Property Managers and Realtors: One Statement for Every Address.

Currency and Countries

JunkBossPro works in the US, Canada, Australia, New Zealand and the UK, and bills your customers in their own currency. A company in Toronto or Auckland sees invoices the way their customers expect them.

A Few Billing Habits

  1. Ask for a card on file at booking. “We'll charge it when the job's done” is an easy ask when the customer is eager to book.
  2. Add on-site extras before Complete. If the crew took more than the job said, the line should go on before the invoice is created.
  3. Enter dump tickets the same day. The overage line is only automatic if the tons get entered.
  4. Glance at unpaid invoices weekly. Past-due follow-up does the reminding, but it's good to know who's behind.

None of these take long, and together they keep the money side of the business as tidy as the garages you leave behind.

Paid Before the Truck Leaves

Billing in junk removal works best when it happens on the job, not on a Sunday night. With invoices created at Complete, cards on file charged right there, online payment for everyone else and reminders for the stragglers, most jobs are paid by the time the crew reaches the next stop.
