Moving a Junk Removal Business Off Paper, Texts and Spreadsheets

Almost every junk removal company runs on three tools at the start: a notepad by the phone, a text thread with the crew, and a spreadsheet someone updates on Sunday night. None of them are bad. They just don't talk to each other, and the gaps between them are where jobs, photos and dump fees get lost.

Where Paper Starts to Break

If you haven't seen one job run start to finish in software, read What Junk Removal Software Actually Does, From the First Call to the Paid Invoice first. This article is about getting from where you are now to there.

The notepad works until two people answer the phone. The text thread works until the crew scrolls past the address they needed. The spreadsheet works until it's Thursday and nobody has updated it since Monday. Some signs it's time to move:

What Replaces the Notepad

The notepad becomes the client record and the Waiting List. When someone calls, the office adds the client and the address, and starts either an estimate or a job. If it isn't booked yet, it lands on the Waiting List, a live map and list of every request still waiting for a truck and a day. Nothing sits on a sticky note under the coffee cup.

Requests from your website work the same way. A request form or sign-up form on your own site sends submissions into Form Responses, and one click converts a sign-up into a client.

What Replaces the Text Thread

The crew text thread becomes the crew app. Instead of a message that says “3pm 418 Oak, couch and two chairs, go to the dump after,” the crew opens their day in route order and each card has the address with navigation, the load size, the number of items, what's going, the haul-to with a Go button, access notes and past notes. Photos are taken in the app and stay on the job, not in somebody's camera roll.

Customer texts move too. On-the-way and arrived texts go out automatically when the crew works the route, and two-way texting from the office keeps customer conversations in one place rather than on the owner's personal phone.

What Replaces the Spreadsheet

The spreadsheet usually tracks who paid, who owes, and what each job brought in. In JunkBossPro, that comes out of the jobs themselves. Complete creates the invoice with its line items and sales tax. Dump fee overage is added from the ticket. A card on file can be charged on completion. Unpaid invoices get past-due follow-up. Reports pull it together, so Sunday night is for something other than typing in numbers.

Your existing spreadsheet of customers doesn't go to waste either. Export it as a CSV and import it. Imported addresses are placed on the map automatically. The details are in CSV Import: Bringing a Junk Removal Customer List Over in One File.

Switching Without Stopping Work

You don't need a slow week to switch. A practical order:

  1. Set up the basics on a weeknight. Trucks, employees with PINs, and your service list with your own prices.
  2. Import your customers. One CSV file.
  3. Enter next week's booked jobs. Only the ones already promised. Put each on a truck and a day.
  4. Put new calls straight into the software. From this point, nothing new goes on the notepad.
  5. Run one truck on the crew app first. Keep a printed route sheet on the dash the first day if it makes the crew comfortable. The dispatch board prints them.

Within a few days, the paper habits fade because the software is faster than the notepad for the things you do most.

Getting the Crew on Board

Crews resist new apps when the apps slow them down. The crew app runs in the browser on the phones they already carry, with no app store download, and asks for a few taps per job: Start, photos, Complete. In return, they stop getting phone calls asking where they are and stop guessing which dump the office meant. Show them the Go button and the access notes on day one, and most of the resistance goes away.

Paper Still Has a Place

Some owners like a printed route sheet on the dash, and that's fine. The difference is that the sheet is printed from the same schedule everyone else is looking at, so it matches. When the day changes, the crew app changes with it. To see how all of this fits together, go back to the JunkBossPro junk removal software page.

Put the Notepad Down

JunkBossPro replaces the notepad, the crew text thread and the Sunday-night spreadsheet with one system for jobs, crews and invoices.
