One Monthly Statement for Every Address: Billing Property Managers for Junk Removal

The quickest way to annoy a property manager's office is to send twenty invoices in one month. Each one has to be opened, matched to a unit, coded and approved. The quickest way to become their favorite vendor is to send one statement that already does that work for them.

The Paperwork Behind the Photos

Photos prove the work was done, as covered in Before-and-After Photos for the Property Manager: Proof Every Trash-Out Was Finished. The statement is how the work gets paid for, and it deserves the same care.

In JunkBossPro, any client can be set to Monthly. A Monthly client does not get an invoice per job. Instead, every job completed for that client during the month goes onto one statement, and each line on the statement is labeled with the address it was for.

What the Statement Looks Like

A month for a mid-sized management company might read like this:

Every line has its own line items and sales tax where it applies. The manager's office can see at a glance which building each charge belongs to, which is usually how they split the cost between property owners on their end.

Setting a Client to Monthly

Set the billing to Monthly on the client before the first job of the month, and every job for that client from then on rolls into the statement. The crew does not have to do anything differently. They complete the job in the crew app the same way, with photos, and the office sees it done. The difference is only in what happens to the bill.

Agree on Monthly with the manager up front. Some landlords with a few rentals prefer to pay per job with a card on file charged at completion. Larger companies almost always want a statement. Ask which they want, then set it.

Line Items Tell the Story

A statement line that only says “Junk removal — $329” invites a question. A line that says “Apartment trash-out, 1/2 truck load” does not. Build your service list with clear names, like:

When a heavy load runs over the included weight, the dump fee overage shows as its own line, for example “Dump fee overage (0.28 tons @ $70.00) = $19.60.” The manager sees exactly why that unit cost more than the one next door.

Use the job notes for anything the manager might want to see next to the charge, such as “Full kitchen cleanout, fridge emptied” or “Extra load from storage cage.” The more each line explains itself, the fewer questions come back.

Getting Paid

The manager can pay the statement however suits their office. If there is a card on file, it can be charged on a schedule. If not, the statement can be paid online in the customer app, where the client can also see past invoices and update their card. Plenty of management companies pay by check through their own accounts payable process; record those payments as they arrive.

If a statement goes unpaid, past-due follow-up works the same as for any invoice. A short, polite reminder to the billing contact is usually all it takes. Most late commercial payments are paperwork, not trouble.

Monthly for Realtors and Contractors

Monthly billing is not just for property managers. A realtor who sends four pre-listing cleanouts a month can get one statement listing each property. A remodeler with debris hauls at three job sites gets one bill with each site on its own line. Contractor billing has its own article in Billing Contractors Monthly for Debris Hauls Across Every Job Site.

Why It Keeps Accounts

Managers juggle a long list of vendors: painters, cleaners, carpet installers, plumbers and you. The vendors whose bills are easy to approve are the ones who stay on the list. One clean statement with every address labeled is a small thing for you and a real relief for the person in accounts payable. That person has more say in who gets the next contract than you might think.

Pricing those lines in a way the manager does not argue with is next, in Pricing Apartment Trash-Outs by the Truck Load Without Arguing Over Every Unit. For the rest of the commercial tools, visit the JunkBossPro commercial junk removal software page.
