Commercial Junk Removal Software: The Complete Guide to Property Manager, Realtor and Contractor Accounts

Most junk removal companies start with homeowners. Somebody has a couch, a garage full of boxes or a hot tub that died, they call, you quote, you haul, they pay. Then one day a property manager calls about a unit a tenant walked out of, and a month later she calls about three more. A realtor sends a vacant house that needs to be empty by Friday. A remodeler asks whether you can pull debris from two job sites a week.

That is commercial work, and it behaves differently from a one-time homeowner pickup. This guide walks through what changes and how to set it up in software so it stays easy as the accounts grow.

Where Commercial Work Fits

Commercial accounts are the part of a junk business that comes back. If you are new to how JunkBossPro handles all of this, the commercial junk removal software page gives the short version. This guide is the long one.

The customers in this group tend to fall into a few types:

What they share: one client, many addresses or many visits, and someone in an office who wants the billing to make sense.

One Client, Many Addresses

The single most important setup decision is to put the paying customer at the top and the addresses underneath. In JunkBossPro the management company is one client. Every complex, unit and rental house is an address under that client. Each address keeps its own access notes, measurements and job history, while the contacts, billing and card on file stay with the client.

This sounds obvious, but plenty of haulers end up with “Oakridge Apts Unit 214” and “Oakridge Apts Unit 108” as two separate customers. Then the manager gets two invoices, nobody can see the account's full history, and a change to the billing email has to be made twice. Getting the structure right on day one saves that mess. If the manager already has a list of units, a CSV import loads them all at once, and the imported addresses are placed on the map automatically.

Tags and custom fields help sort the client list. Tag clients as property manager, realtor, contractor or business, and keep things like a portfolio name or a purchase order number in a custom field so it is there when you need it.

Getting Into Units Nobody Is Home To Open

A homeowner pickup usually has somebody standing in the driveway. A trash-out does not. The unit is vacant, the keys are in a lockbox or at the leasing office, and the dumpster enclosure may be off limits to vendors. All of that belongs in the access notes on the address:

The crew sees those notes on the job card in the crew app every time the address is on the schedule, along with past notes from earlier visits. Nobody has to call the office from the parking lot.

The Job Itself: Load, Items and Where It Goes

Every job in JunkBossPro carries junk removal details: the truck load (Min Load, 1/8, 1/4, 3/8, 1/2, 5/8, 3/4, 7/8, Full Load, 1.5, 2 or 3 loads), the number of items, a note on what is going, and where it is hauled to. For a trash-out that might read “1/2 load · couch, mattress, bagged trash, kitchen cabinets left full · transfer station.” The haul-to destination gets a Go button on the crew's phone for directions.

Heavy trash-outs and remodel debris often run over the weight included in the price. Enter the dump ticket's tons, the tons included and your per-ton rate, and the overage is added to the invoice automatically, as a line like “Dump fee overage (0.28 tons @ $70.00) = $19.60.” Contractors who want a dumpster left on site can get dumpster drop days: a number of days included, then a daily rate.

Photos the Manager Will Ask For

Property managers, realtors and executors are usually not standing in the unit when you finish. They want to know it was done. The crew takes before-and-after photos in the crew app, and the photos stay with the job. When the manager asks whether the back bedroom closet was cleared, the office has the answer in a minute instead of sending a truck back to look.

One Monthly Statement

This is where commercial accounts are won or lost. A manager who gets twelve invoices for twelve units in a month has to match each one to a unit and push each through accounts payable. Set the client to Monthly in JunkBossPro and they get one statement each month covering every address, with each line labeled by address. Invoices still carry line items and sales tax, the statement can be paid by card on file or online in the customer app, and past-due follow-up works the same way it does for anyone else.

Commercial and Residential on One Schedule

You do not need a second system for commercial work. A move-out request lands on the Waiting List map right next to single-item pickups, garage cleanouts and on-site estimate visits. The office can see that the unit across town is two blocks from tomorrow's mattress pickup and put them on the same truck. The dispatch board shows jobs by day and truck, auto-routes Closest First or Furthest First from the yard, and prints route sheets. A common setup is one truck on single items and small loads, and one on cleanouts and the bigger commercial jobs.

Estimates work the same way for commercial clients. Build the quote from your service list, whether that is an apartment trash-out, a half truck load or an office cleanout, send it, and when the manager approves online, the estimate becomes the scheduled job.
